How to plan a group trip (without the chaos)

Group trips are the best kind of holiday — until 14 people are arguing in a group chat about flights. Here's a simple, repeatable way to get from 'we should go somewhere' to a booked trip everyone's happy with.

1. Pick one organiser (or two)

Every successful group trip has someone who keeps things moving. They don't have to pay for everything or make every decision — they just set deadlines, chase replies and keep the plan in one place.

For bigger groups, split the role: one person looks after bookings, another looks after money.

2. Agree dates and budget before destinations

Most group trips stall because people fall in love with a destination nobody can afford or a week half the group can't make. Lock in the practical stuff first.

  • Share 2–3 possible date ranges and ask everyone to reply by a fixed deadline.
  • Ask for a rough budget per person, privately if needed, and plan to the lower end.
  • Decide early whether you're sharing accommodation, and how many nights.

3. Shortlist destinations and vote

Offer two or three options that fit the dates and budget, then take a quick vote. Fewer choices means faster decisions — and fewer people feeling ignored.

4. Book the big things first

Accommodation and travel usually make up most of the cost, and prices climb as dates get closer. Once dates are agreed, book these quickly and get everyone to pay their share straight away.

Keep booking references, check-in times and addresses somewhere the whole group can find them — not buried 400 messages up a chat.

5. Build a shared itinerary

A shared itinerary stops the endless 'what time are we meeting?' messages. Add each plan with a time, a place and, if it costs money, the price.

Leave gaps. Group trips feel rushed when every hour is planned, and people enjoy having time to wander off in smaller groups.

6. Track shared costs as you go

Someone always pays for the taxi, the supermarket run or the boat deposit. Log every shared cost on the day, with who paid and who it's split between, and settle up at the end rather than sending dozens of small transfers.
